Occasionally we may also collect photographs, audio or video of individuals involved in our projects.
How we get the personal information and why we have it
Most of the personal information we process is provided to us directly by you for one of the following reasons:
You have contacted us directly via our website or email address.
You have submitted an event to the What’s on Leith Calendar on our website.
We are collaborating with you on a project.
We also receive personal information indirectly, from the following sources in the following scenarios:
Information shared publicly on social media. Where we want to use information provided on a public platform we will always endeavour to ask for permission to use it. For example, if we want to quote you, or use an image you have shared.
From our partners, where they have your permission to share this information with us.
We use the information that you have given us in order to:
Create an archive of heritage and creative cultural information about Leith. This archive may be used in projects run by Leith for Ever, other members of the Leith Culture and Heritage group.
Work with you on a project.
Promote your activities to others where you have asked us to do so.
Share relevant information on activities being carried out by ourselves or others with you.
We may also share community archive materials with other heritage and culture organisations, should it be deemed relevant to an activity they are doing.

How we store your personal information
Information collected for use in our public community archive:
This information may include photo’s or other media, and your first name. We will always ask for your consent to add your information to the archive, or make it clear if the purpose of collecting your data is for inclusion in the archive.
We will never knowingly share your contact details or other personal information in our public archive.
Data collected as part of the archive may be kept indefinitely, unless you withdraw your consent for it’s use.
Information collected in the day to day operations of Leith for Ever:
This information will be securely stored in our google workspace. Only the producers working on Leith for Ever will have access to this unless you have given express consent for us to share it with a third party (e.g. to introduce you to a contact). We will never sell your data, or use it for commercial purposes. Please see googles privacy statement here.
Information used to promote your events/ activities:
If you use personal data to promote activities (e.g. sell tickets for an event), and share it with us so that we can support you in promoting the event your data may be collected or added to tockify who provide the software behind the what’s on in Leith calendar. Other than data included in the archive, we will keep basic personal data for a period of three years beyond your participation in an activity or from the date of last contact. We will then dispose your information by manually deleting it from our contact lists.
Your data protection rights
Under data protection law, you have rights including:
Your right of access - You have the right to ask us for copies of your personal information.
Your right to rectification - You have the right to ask us to rectify personal information you think is inaccurate. You also have the right to ask us to complete information you think is incomplete.

Your right to object to processing - You have the the right to object to the processing of your personal information in certain circumstances.
Your right to data portability - You have the right to ask that we transfer the personal information you gave us to another organisation, or to you, in certain circumstances.
You are not required to pay any charge for exercising your rights. If you make a request, we have one month to respond to you.
